Follow-up arrangement for a Kuantan hardware supplier
The situation
A hardware supplier with two staff was getting enquiries through WhatsApp and a website form. Most enquiries went unanswered for 3–5 days because the owner was managing the shop floor. Roughly 30–40% of enquiries were going cold before anyone replied.
What we did
Pilot Scoping identified the WhatsApp channel as the highest-value target. We drafted follow-up messages for three enquiry types (price, availability, bulk order) and set a 24-hour send rhythm. Staff reviewed and sent each one — setup took eight working days from first session to live.
Three months later
Cold enquiry rate dropped from ~35% to ~12%. One staff member handles the queue in about 20 minutes per morning. The owner noted that three of the first month's sales could be traced to enquiries that had previously gone unanswered for more than two days.
Scoping only: a professional services firm in Temerloh
The situation
A two-partner consultancy had been quoted a RM 12,000 onboarding package by a larger AI vendor. They weren't sure whether that was appropriate and came to us for a second opinion before committing.
What we did
Pilot Scoping only. We identified the specific use case the vendor had proposed, assessed whether it matched their actual workflow, and produced a brief that described a narrower scope for roughly 40% of the quoted cost.
Outcome
They went back to the original vendor with the brief and negotiated a reduced scope. They've not engaged us for ongoing work, which is fine — the brief served its purpose. This is one of the 12 arrangements we've seen result in a smaller or terminated commitment rather than a larger one.
Ongoing Care for a small logistics operation in Gambang
The situation
A logistics operator had self-implemented three AI tools over 18 months, none of which had been reviewed since setup. Monthly subscriptions totalled RM 340 and the owner wasn't sure which were still being used.
What we did
Ongoing Care started with an inventory. One tool was not being used at all. A second was partially used but had a free-tier alternative that covered the actual usage. We recommended both be cancelled. The third was kept and its wording was updated quarterly as the service offering shifted.
After six months
Net monthly subscription spend dropped from RM 340 to RM 89. The remaining tool is reviewed each quarter. The client has been on Ongoing Care for nine months and the arrangement cost has been justified against subscription savings alone, without counting staff time saved.
